Policy & Procedure Guidelines
The mission of American University’s Office of Athletics Communications is to develop and distribute positive messaging through various channels to publicize, promote, inform and increase visibility about AU’s intercollegiate programs locally, regionally, nationally and internationally.
The office will efficiently utilize distribution channels to include the athletics website (AUeagles.com), the Patriot League Network, interactions with legacy media and positive use of social media in order to maximize our effectiveness within our financial and personnel resources.
Our goal will be to identify messages and stories inside the department and to “be our own media” in terms of producing and distributing those stories.
We will strive to provide exceptional customer service to internal and external constituents, including student-athletes, coaches, alumni, fans and media. We will work with general campus communications staff and with internal and external operations units to create opportunities for visibility and revenue generation.
Our office will recruit, train and mentor undergraduate students interested in sports communications, providing them hands-on opportunities for experiential learning in positions for Patriot League Network and video productions.
INTERVIEW POLICY
All interview requests must be forwarded to a representative of the Office of Athletic Communication and cleared with the Associate AD for Communications. No administrator, coach, or student-athlete shall be contacted by the media without prior consent of the Office of Athletic Communications. In turn, if a media representative makes contact without prior consent, it is the duty of the interviewee to the media representative to the Office of Athletic Communications.
When a student-athlete is requested for an interview, it is the wish of the Office of Athletic Communications to have the interview take place in a controlled environment, with a representative in the general vicinity. This will alleviate any tenuous circumstances, and allow the student-athlete to have a contact nearby, if necessary. Student-athletes' residence phone numbers WILL NOT be provided to the media. It is the intent of the office that all student-athlete interviews take place in the Office of Athletic Communications, or in a predetermined location. Student-athletes will not be made available for interviews on gameday until after the conclusion of competition. It is at a coach's discretion whether they will conduct interviews on the day of competition.
American University athletics follows the NCAA guideline of allowing a 10-minute cooling off period following the completion of competition prior to conducting interviews. At a home event, where applicable, the visiting coach and selected student-athletes will enter the media room first, followed by the AU head coach and selected student-athletes. In the event of a Patriot League or NCAA Championship event, following a 10-minute cooling off period, the winning head coach and selected student-athletes will enter the media room first, followed by the losing head coach and selected student-athletes.
CREDENTIALS
All credential request must be made 48 to 72 hours before the start of competition. Any late requests must be signed off by a member of the staff and do not guarantee access.
All credentials are issued by the American University Office of Athletic Communications. All credentials are issued specifically for working media, gameday operations and university staff members and are NON-TRANSFERABLE. AU Athletics reserves the right to revoke any credential that is improperly used. All credentials remain the property of AU Athletics and must be surrendered upon request. This credential may not be valid for sold-out events and does not guarantee the holder a seat. Proper use of this credential is required and expected.
PHOTOGRAPHY
Only small personal still camera equipment with a three inch lens or smaller may be brought into Bender Arena. No detachable lense is permitted on any camera unless approved by Athletic Communications and with the appropriate credential. Please note that for certain events cameras may not be allowed into the arena. Video, audio, and professional camera and recording devices are prohibited. Fans may not reproduce any film, digital, video or audio recording for commercial purposes without the express written consent of American University.
